Merchant Identification - Vendor Service

Vendors who are not selected as a Purchasing Card Provider on the Miscellaneous page of Vendor Service will have the Merchant Identification workflow icon enabled. The merchant identification is used as a secondary method (the vendor number is the primary method) of linking P-card transactions to specific vendors. If P-card transaction information can be cross referenced to the vendor number, this information is not required or recommended.

To update or view the Merchant Identification page, follow the steps below:

  1. Go to Maintenance > new world ERP Suite > Procurement > Vendor Service.
    • If you are editing a vendor, locate and open an existing vendor record. Click the Edit button on the menu bar of the General Vendor Service tab. By default, the window opens on the General page.
    • If you are creating a new vendor, click New. By default, the window opens on the General page.
  2. To open the page if needed, click the gray Merchant Identification icon at the top of the Vendor page. When the page is open, the Merchant Identification icon is in color .
  3. Click New to add a new merchant ID record or click the Purchasing Card Provider hyperlink to edit an existing record.
  4. On the Vendor Merchant Information screen, select the Purchasing Card Provider for this vendor. This value is required and is populated with all vendors in the system. Select the vendor that provides the purchasing card to be used to make purchases from this vendor.
  5. Enter the Identification Code for the vendor/merchant. This value is required and may contain up to 64 characters. This is the number, usually the Federal Tax ID number, that identifies the vendor in their transmittal files.
  6. Click OK to save the entry.
